HUMMINGBIRD INDIGENOUS FAMILY SERVICES MISSION AND VISION

Healthy Indigenous babies being born into healthy Indigenous families being supported by healthy Indigenous communities. At Hummingbird Indigenous Family Services, we believe that attachment and culture are the foundations of healthy communities and that through rematriation (Returning the Sacred to the Mother), we can heal historical trauma. 

Through culturally relevant support during the perinatal period, we reduce the personal, cultural, and systemic barriers that disproportionately affect Indigenous parents while strengthening the bond between parents and connections to the community.

SUMMARY OF POSITION

Within Hummingbird Indigenous Family Services, the Pilimakua Family Connections Department provides Indigenous-centered programs to support our Indigenous families in re-establishing our villages of community needed in early parenting. Our Pilimakua Family Connections Department is voluntary, free-of-cost, and offered to Indigenous families (American Indian/Alaska Native/Native Hawaiian/Pacific Islander) with expectant babies, new babies, and young children living in King, Pierce, and South Snohomish Counties. The Pilimakua Family Connections Department has the following four programs: 

  • Pilimakua Home Visiting Program
  • HIFS Pilimakua & FOCS Indigenous Parents Group
  • Pilimakua Indigenous Families Community Connection Events
  • Pilimakua Indigenous Emotional Wellness Program

The Temporary Pilimakua Administrative Assistant will support the Pilimakua Department Director and BKP Executive Admin Assistant to carry out administrative duties to assist the programs and special projects within our Pilimakua Family Connections Department. The Temporary Pilimakua Administrative Assistant plays a vital role in supporting the efficient functioning of the programs. This position is essential in helping our organization run smoothly by ensuring that administrative operations are well-coordinated and deadlines are met. This position is responsible for various entry-level clerical, organizational, and administrative tasks aligned with three special projects:

  • Indigenize CDC Milestones Photoshoot
  • Pilimakua Home Visiting Program Curriculum
  • Pilimakua Indigenous Emotional Wellness Program Curriculum

ESSENTIAL FUNCTIONS:

  • Assists with the Department Director and BKP Executive Admin Assistant administrative functions.
  • Prepares for and attends meetings, takes notes and transcribes minutes to ensure consistent communication.
  • Assists BKP Executive Admin Assistant in creating, printing and copying various program documents and maintaining files.
  • Handles expense forms, check requests forms, and budgeting for events, special projects and other various expenses.
  • Assists in meeting and event planning and coordination, such as booking a venue, ordering meals and supplies, etc. 
  • Provides excellent communication and customer service
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with competing deadline pressures.
  • Other duties as assigned by the Pilimakua Department Director and BKP Executive Admin Assistant.

GENERAL DUTIES:

  • General administrative needs for department directors - includes copying/printing, running errands and special projects
  •  Assists in ordering and acquiring department supplies - for relatives and for staff (non-urgent items)
  • Coordinates with contract workers for office maintenance and other department needs
  • Assist with departmental expense tracking (when necessary)
  • Designs and updates program and project materials
  • Maintains Google calendar for full transparency and ease of scheduling needs
  • Reports directly to Pilimakua Department Director & BKP Executive Admin Assistant
  • Maintain appropriate and professional relationships with all department staff and families through frequent communication (e.g. in-person, phone, text, email, or other written correspondence).
  • Attend regular one-on-one meetings with department leadership.
  • Update and maintain yearly training and profile forms
  • Assist in planning/hosting and provide outreach/education at community-wide cultural events.
  • May be exposed to outdoor weather conditions during portions of the work day.

SPECIAL PROJECTS:

  • Indigenize CDC Milestones Photoshoot
    • Plan logistics for photoshoots, including venue layout, catering, etc.
    • Coordinate with Pilimakua Department Director, Pilimakua Home Visiting Program Manager, and BKP Exec Admin Assistant
    • Coordinate with any contractors associated with the event, including photographers, caterers, and photoshoot participants
    • Attend any meetings for planning & logistics, take notes, and transcribe minutes to ensure consistent communication.
  • Pilimakua Home Visiting Program Curriculum Development
    • Assist Pilimakua Department Director and Pilimakua Home Visiting Program Manager edit and organize the existing PIHV Curriculum Lesson Plans
    • Create, print and copy handouts, templates, and other relevant materials
    • Attend any associated meetings, take notes and transcribe minutes to ensure consistent communication.
    • Potentially assist with Elder’s Interview Project
  • Pilimakua Indigenous Emotional Wellness Program Curriculum Development
    • Assist Pilimakua Department Director and Pilimakua IEW Program Coordinator edit and organize the existing PIEW Curriculum Lesson Plans
    • Create, print, and copy handouts, templates, and other relevant materials
    • Attend any associated meetings, take notes and transcribe minutes to ensure consistent communication

REQUIRED SKILLS AND/OR EXPERIENCE:

  • Education Requirement: 2-5+ years of work experience in administrative and/or communications role
  • 15-20 years of personal and/or professional experience working closely with American Indian, Alaska Native, Kānaka Maoli/Native Hawaiian, and/or Pasifika communities.
  • Experienced in using Google Workplace, Microsoft Office, Canva, Social Media (FB, Instagram, Twitter)
  • Skilled at building rapport with individuals and families while respecting family choice and maintaining appropriate boundaries and cultural competency.
  • Sensitive awareness of diverse cultural, socio-economic, and lifestyle backgrounds.
  • Strong verbal and written communication and skills.
  • Very strong organizational skills 
  • Ideally, skills with digital design
  • Work independently with regular contact / coordination with the Pilimakua Department Director and BKP Executive Admin Assistant.
  • Ability to understand and resolve complex problems.
  • Ability to work with conflicting deadlines.
  • Other Logistical Requirements
    • Operates a personal vehicle to drive between various work sites. 
    • Must have access to a car, valid driver's license and insurance (mileage will be reimbursed).
    • Must have a flexible schedule and supportive lifestyle to meet the needs of the program. Occasional weekend and evening work. 
    • Pediatric CPR/First Aid and Blood-borne certificate. Must maintain it as a condition of continued employment.
    • HIPAA certification upon hire.
    • Must pass a background investigation, including relevant criminal history.

COMPENSATION:

$25/hour with guaranteed work of 24 hours/week (3 days/week). This is a temporary position from October 27, 2025 - December 19, 2025.

LOCATION: 

Our offices are in Columbia City in Seattle, WA. This position is required in-person work for the 3 days out of the week (Monday and two more days with conversation with the team). Position requires some work at community events throughout King County and on local reservations. Must live locally to apply.
